Prime Design Homes is looking for a responsible Office Manager/Office Administrator to perform a variety of administrative and clerical tasks in our Mobile, AL office.
Responsibilities:
- Strong working knowledge of Peachtree Accounting Software
- Payroll Processing Accounts Receivable and Accounts Payable
- Ensure that accounting, budget, and audit controls and systems are in compliance with State, Federal, and local rules and regulations
- Accounts payable are paid in a timely manner
- All reasonable discounts are taken on accounts payable
- Keeps books and accounting records of financial transactions for the establishment, operating company, and several LLCs
- Reconciles and balances accounts, financial reporting, light budgeting, and forecasting
- Communication with management, department heads, vendors, and clients
- Record keeping and or filing of bills/invoices
- Cost data entry and maintenance
- Trade/Vendor auditing/data maintenance
- Trade/Vendor insurance maintenance
- Warranty tracking
- Maintains inventory of office supplies; orders new supplies as needed
- Provides clerical support when needed to assist staff with assigned administrative duties such as answering phones, sorting, scanning, and distributing mail
Required Skills/Abilities:
- Experience in accounting, finance, or other related fields is preferred
- Ability to prioritize and multitask
- Strong time management and organizational skills
- Deadline and detail-oriented
- MUST have experience with Microsoft programs, including Excel and Outlook
- Excellent verbal and written communication skills
- Positive can-do attitude.
- Excellent interpersonal and customer service skills
- Excellent organizational skills and attention to detail
- Excellent time management skills with a proven ability to meet deadlines
- Proficient with Microsoft Office Suite or related software
- Proficiency with Microsoft Excel is a must
- Proficiency with construction management software is a plus but not required
- Prolonged periods sitting at a desk and working on a computer
Education and Experience:
- High school diploma or equivalent required
- Construction and real estate office management experience a plus
