Office Manager/Office Administrator

Prime Design Homes is looking for a responsible Office Manager/Office Administrator to perform a variety of administrative and clerical tasks in our Mobile, AL office.

Responsibilities:

  • Strong working knowledge of Peachtree Accounting Software
  • Payroll Processing Accounts Receivable and Accounts Payable
  • Ensure that accounting, budget, and audit controls and systems are in compliance with State, Federal, and local rules and regulations
  • Accounts payable are paid in a timely manner
  • All reasonable discounts are taken on accounts payable
  • Keeps books and accounting records of financial transactions for the establishment, operating company, and several LLCs
  • Reconciles and balances accounts, financial reporting, light budgeting, and forecasting
  • Communication with management, department heads, vendors, and clients
  • Record keeping and or filing of bills/invoices
  • Cost data entry and maintenance
  • Trade/Vendor auditing/data maintenance
  • Trade/Vendor insurance maintenance
  • Warranty tracking
  • Maintains inventory of office supplies; orders new supplies as needed
  • Provides clerical support when needed to assist staff with assigned administrative duties such as answering phones, sorting, scanning, and distributing mail

Required Skills/Abilities:

  • Experience in accounting, finance, or other related fields is preferred
  • Ability to prioritize and multitask
  • Strong time management and organizational skills
  • Deadline and detail-oriented
  • MUST have experience with Microsoft programs, including Excel and Outlook
  • Excellent verbal and written communication skills
  • Positive can-do attitude.
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Proficient with Microsoft Office Suite or related software
  • Proficiency with Microsoft Excel is a must
  • Proficiency with construction management software is a plus but not required
  • Prolonged periods sitting at a desk and working on a computer

Education and Experience:

  • High school diploma or equivalent required
  • Construction and real estate office management experience a plus
