Administrative Assistant

Prime Design Homes is seeking a dependable, organized, and detail-oriented Administrative Assistant to support our growing team. This position is ideal for someone who thrives in a fast-paced office environment and enjoys managing a variety of administrative, accounting, and operational responsibilities.

The Administrative Assistant will play a key role in supporting daily business operations, maintaining accurate records, coordinating with trade partners, and providing exceptional administrative support across multiple departments.

Responsibilities

  • Perform invoice data entry, billing, and basic bookkeeping tasks
  • Manage General Liability and Worker’s Compensation insurance documentation for all active trade partners
  • Conduct real estate transaction auditing and maintain accurate transaction records
  • Maintain office supplies inventory and coordinate purchasing as needed
  • Answer incoming phone calls and direct inquiries professionally
  • Perform general receptionist and secretary duties, including scheduling, filing, and correspondence
  • Assist with organization and maintenance of company records and documentation
  • Support office operations and administrative projects as assigned
  • Ensure accuracy and confidentiality of financial and business information

Qualifications

  • Previous administrative assistant, office management, or bookkeeping experience preferred
  • Basic understanding of accounting and bookkeeping practices
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite and/or Google Workspace
  • High attention to detail and accuracy
  • Ability to work independently and collaboratively in a team environment
  • Professional demeanor and strong customer service skills
  • Experience in real estate, construction, or homebuilding industries is a plus
